Pay: Up to £26,000 depending on experience

We are currently working on this excellent opportunity to join this outstanding company who offer an excellent package to all employees.  Our client is looking for an experienced Receptionist / Office Co-ordinator to join their hard working, and friendly team.

 

Your duties will include:

 

  • Provide a first-class Reception service as the first point of contact for visitors
  • Management of the meeting room suite to ensure smooth running of internal and external meetings from a logistics perspective
  • Manage the meeting room system, ensuring correct availability and required resources available at all times
  • Liaise with external suppliers to provide catering for visitors and colleagues when required
  • Act as a first point of contact: dealing with correspondence and phone calls
  • Administer postal and delivery services, including developing and maintaining monitoring system
  • Book and arrange travel, transport and accommodation on request and manage subsequent expenseswhen required
  • Assist in booking external meeting rooms where needed
  • Support the management of all aspects of relationship with external building facilities management company
  • Liaise with colleagues and suppliers as required
  • Provide cover for admin support and PA colleagues, carrying out any tasks as required
  • Support Business Services Manager with Office Management processes
  • Maintain office systems, including team data management, filing, and archiving
  • Liaise with finance colleagues to raise purchase orders when required
  • Act as a brand ambassador and professional representative, to support the organisation of business events and conferences
  • Where required, support the preparation of documentation for meetings, e.g., presentations
  • Fire warden and contribute to risk assessments
  • First aider
  • Identify risks in own area of responsibility, recognise risks in all areas of the business and notify any such risks to your People Manager and the Business Assurance Manager 

 

Experience Required:

 

  • Previous administration and/or reception experience is essential
  • Effective IT skills, in particular MS Office
  • Excellent written and verbal communication skills
  • Effective organisation and planning skills with the ability to multi-task
  • Strong attention to detail in all areas of work carried out
  • High levels of integrity and trustworthiness, often being party to confidential information
  • The ability to be proactive and take complete ownership of problems and work with minimal direction
  • Ability to work flexibly and adapt to change positively in a fast-moving environment

 

Hours of work are, Monday to Friday, 9:00am to 5:00pm with ½ hour lunch.
