Part-Time Shipping Co-ordinator / Administrator

Pay: £11.25 per hour

Our client is an extremely well established and friendly company based in Ripponden.  Due to retirement our client is seeking a part-time shipping co-ordinator / finance administrator to join their small and friendly team to assist with the day-to-day administration duties.

The role is a job share, working 3 days per week (Tuesday, Wednesday, Friday) 9.30am to 5.30pm.

Your duties will include:

  • Accurately maintain day to day UK Shipping / financial and related sales data
  • Coordinate shipping related tasks for vessels/vehicles arriving from Japan
  • Release vehicles to customers/agents
  • Co-manage shipping and vehicle documentation procedures
  • Help improve procedures, systems
  • General administration duties

Role responsibilities

  • Dealing with shipping clearing agents
  • Create and update costs to Excel charts/website - ADVANCED EXCEL USER IS ESSENTIAL
  • Liaise with Japan Office, Shipping Lines, and others
  • Maintaining schedules/calling shipping lines
  • Maintain spreadsheets
  • Pre arrival procedures
  • Customer balance payments
  • Arrange collection note instructions
  • Stock control UK yard - Southampton
  • Releasing cars / coordinating with UK shipping lines, agents, and customers
  • Documentation - Vehicles and Shipping
  • Process document / boat packages arrived from Japan
  • Release to customer / shipping line or agent
  • Post/Postal runs to post office - regular
  • Update tracking numbers
  • HMRC: NOVA system import submissions online / update website
  • BIMTA: Process mileage guarantee checks
  • Going to the Post Office at the end of the day (Barkisland)

About You:
You will be a helpful team player, willing to assist the team.

Candidates Must Have:

  • Previous shipping experience is desirable but not essential as full training will be provided for the right candidate
  • You will have strong Maths and English
  • Strong IT skills, MS Word and Excel - ADVANCED EXCEL USER IS ESSENTIAL
  • Excellent attention to detail and strong administration experience is essential
  • A driving licence is also essential for this role as you will be going to the Post Office at the end of every day in Barkisland
